This policy explains what information The Grub Shack LLC ("we", "us") collects through thegrubshack.co, how we use it, and the choices you have.
1. Information we collect
When you place an online order: your name, your phone number, your email address if you give one, the pickup time you choose, your notes for the kitchen, and what you ordered.
When you pay online by card: your card is entered directly with our payment processor, Datacap, and never reaches our website. We receive only what we need to record the payment: an approval code, a reference number, the card brand and the last four digits of the card, and a token from Datacap that lets us refund or void that payment. We never see or store your full card number, security code or expiry date.
When you use the website: our web server keeps standard technical logs, such as your IP address, browser type and the pages requested, for security and troubleshooting. To limit abuse, the ordering system also keeps a scrambled (hashed) form of your connection's address alongside recent orders and declined payments.
When you contact us through the website's contact form: your name, email address, subject and message. Your message is emailed to us and kept in the website's staff inbox, which only our staff can see, until we delete it.
2. How we use it
- To prepare your order and have it ready for pickup, including sending it to our kitchen and point-of-sale system.
- To contact you about your order, for example if an item is unavailable or your order is ready.
- To take payment, and to refund or void a payment when needed.
- To keep the website secure and to prevent fraudulent or abusive orders.
- To meet our legal and accounting obligations.
We do not sell your personal information, and we do not use it for advertising. The website has no newsletter or marketing list. If you tick the box at checkout, we text you about that order only (up to 5 texts); message and data rates may apply, reply STOP to opt out or HELP for help. Your mobile number and your consent to texts are not shared with anyone else for their marketing.
3. Who we share it with
Only with the services that run the business on our behalf: our point-of-sale provider, Winston POS (so the kitchen receives your order); our payment processor, Datacap (for online card payments); and our website host. They may use your information only to provide those services to us.
We may also disclose information if the law requires it, or to protect our rights, our customers or the public.
4. Cookies and similar technologies
The website does not use advertising or analytics cookies, and it does not track you across other websites.
Your cart is kept in your own browser's local storage, so it is still there if you reload the page; it is cleared when you place your order, and you can clear it at any time through your browser settings. Staff signing in to manage orders receive a session cookie; customers do not need one.
Some pages may show videos from our Facebook, Instagram or TikTok accounts. Nothing from those platforms loads until you press play; once you do, the video plays from that platform, and its own privacy policy and cookies apply.
5. Other websites
The website links to other sites, such as QuixTix for event tickets. Those sites have their own privacy policies, and we are not responsible for how they handle your information.
6. How long we keep it
We keep order and payment (transaction) records for as long as tax and accounting rules require, and as the authorities that set those rules expect. Messages sent through the contact form are kept until we delete them.
7. Security
Order records are stored on our server outside the public part of the website, readable only by the site itself, and the website is served over an encrypted (HTTPS) connection. No system is perfectly secure, but we take reasonable measures to protect your information.
8. Your choices
You can ask us what information we hold about you from online orders or the contact form, ask us to correct it, or ask us to delete it where we are not required to keep it: email admin@thegrubshack.co. Giving an email address with an order is optional.
9. Children
The website is not directed at children under 13, and we do not knowingly collect personal information from them.
10. Changes to this policy
We may update this policy from time to time; the date at the top of this page shows when it last changed.
